Rentaflix is designed for private landlords, family businesses, and small teams managing rentals. It is especially useful when operations become hard to control with spreadsheets.

No installation is required. Rentaflix runs fully online, so you can access your workspace from any internet-connected computer, tablet, or mobile device.

Migration from spreadsheets

Yes. Rentaflix is designed to replace disconnected spreadsheets, folders, notes, and reminders with connected workflows, searchable records, and practical automation.

Yes. Rentaflix supports bulk import for buildings, units, tenants, and tenancies, so you can move core records faster. Many landlords still start with active records first, then complete older history step by step.

You can set up your first records in a short session, use bulk imports for larger existing datasets, and refine the structure over time.

Plans, limits, and teams

Yes. The Free plan is free forever and includes the core landlord workspace with the Free plan limits. You can upgrade any time when you need higher limits or paid-only connected workflows.

Yes. The Free plan has no expiry and gives access to the core rental workspace within its limits. Paid plans are for higher limits and connected capabilities such as apps, integrations, listings, retention controls, image resizing, and multi-currency support.

You keep the same workspace. Paid plans increase limits such as units, users, storage, template count, and configurable dashboard items, and add the connected workflows reserved for paid plans.

Paid plans add the tenant app, Rentaflix Go, Google Drive sync, SMTP/IMAP email integration, Google Contacts sync, archiving and retention settings, unit listings and applications, image resizing, and multi-currency support.

Yes. You can move between plans based on your portfolio stage. The goal is to let you scale without reworking your daily process.

Yes. Rentaflix supports collaboration and permission management so each person can access only what they need.

Yes. Rentaflix supports collaboration with role-based permissions so each person sees only what is relevant to their responsibilities.

Rent and finance

Yes. The dashboard can be configured with widgets for finances, rent collection, occupancy, assets, consumption, tasks, and other operational signals, so each landlord can monitor what matters first.

Rent collection views help you see unpaid rent by period, expected amounts, paid amounts, and balances due. From the same workflow you can record payments, mark rent as paid, apply late fees, and create follow-up actions.

No. Rentaflix does not currently connect to bank APIs for automatic rent reconciliation. You can track rent, record payments, and import bank statements or transactions for review while keeping final reconciliation under your control.

Yes. Bills captured from Rentaflix Go can be reviewed in the web workspace with vendor, date, amount, category, confidence, attachment, and review notes before being accepted, rejected, or deleted.

Documents and templates

Yes. You can manage DOCX templates and rich text templates, insert Rentaflix placeholders, preview or simulate formatting, and use active templates to generate documents with tenant and property data.

Yes. Document export workflows let you choose templates grouped by purpose, such as leases, financial transactions, property reports, data exports, or tenant reports, then generate documents from connected records.

Operations and field work

Yes. Rentaflix is designed to automate and assist as much of the landlord routine as possible: reminders, document generation, field capture review, classification support, follow-ups, templates, and structured workflows.

Yes. Unit listing and rental application workflows are paid-plan capabilities. They help landlords prepare public listing pages, share application links, collect applicant information and documents, then keep the review process connected to the unit record.

Rentaflix Go is the paid-plan native mobile app for landlords working in the field. It supports on-site work such as service requests, move-in and move-out inventories, photos, notes, bill capture, meter reading capture, offline queues, and synchronization back to the web workspace.

Offline support lets landlords capture service requests, inventories, bills, meter readings, photos, and field notes when connectivity is poor, then queue uploads and synchronize when the connection returns.

Security, data control, and integrations

All Rentaflix data — tenant records, financial history, and uploaded documents — is stored exclusively in data centres located within the European Union. No data is transferred or processed outside EU/EEA territory.

All data transmitted between your browser and Rentaflix is encrypted using TLS 1.3, independently rated Grade A by SSL Labs, with Forward Secrecy enabled. Each session is cryptographically independent, meaning past traffic cannot be decrypted even in a future compromise scenario. Data stored on our infrastructure benefits from enterprise-grade European cloud and database security measures.

Yes. All Rentaflix infrastructure partners operate within the European Union and comply with GDPR. Your data is never transferred outside EU/EEA territory. We respect your rights under GDPR, including the right to access, portability, and permanent deletion of your data.

When you delete your account, all your data is permanently removed from our systems — tenant records, uploaded documents, and financial history. Nothing is retained after deletion.

No. Documents stored in Rentaflix are never accessible via a public URL. Every document request is authenticated through the Rentaflix service and restricted to authorised users in your account. No document can be reached by guessing or sharing a link.

Yes. When you invite a collaborator to your space, you assign them a role that defines exactly what they can access — read-only or limited update permissions. Collaborators only see what their role allows. You remain in full control and can remove access at any time.

Yes. These are paid-plan integration workflows. Yes. Data retention and archiving controls are paid-plan settings designed to let landlords configure which tenant-related data is archived, when archiving happens, and how long archived data is retained before purge. Assistant suggestions can help guide rules by country, but the landlord remains responsible for the final configuration.
